Part-Time/ Hourly Clinicians and Interns

5th, 20th, and last day of the month for all part-time/ hourly clinicians and interns

Full-Time Clinicians and Staff (Excluding International Staff)

Note Submission Timelines For Part-Time/ Hourly Clinicians

Notes completed and submitted/pending supervisor approval between the 1st through 10th of the current month will be paid by the 5th of the following month
Notes completed and submitted/pending supervisor approval between the 11th through the 20th of the current month will be paid by the 20th of the following month
Notes completed and submitted/pending supervisor approval between the 21st through the last day of the current month will be paid by the 30th/ last day of the following month

Note submission deadlines are 10th, 20th, and and 30th/last day of the month
Completed is defined as the note is signed by the clinician, or signed and pending supervisor approval.
Please note that pending notes colored green typically mean they are awaiting supervisor approval. On rare occasions, they may mean a draft that hasn’t been signed by the clinician. Drafts will not be included in the note count for the submission periods.
Notes should be completed within 24 hours of the date of service. Notes should not be piled up for your supervisor on the note submission cut-off date.

Late submission of notes

There will be a $200 administration fee to run payroll for late notes. The penalty will be taken out of your paycheck.
The penalty was mentioned in the Provider Codes of Conduct. It is now being enforced. (https://bit.ly/3P7kjZO)
Notes not meeting the submission deadlines outlined above will be paid according to the submission date above.
- Example: On the 12th of the month, a clinician signs a note for a session held on the 5th of the current month. This note will be paid by the 20th of the following month. A late submission fee of $200 will be taken out of the paycheck.
